HotKey Pricing Calculator — Sales Enablement Tool

Replacing spreadsheets with an interactive pricing tool that became the primary sales instrument for the entire team

UX/UI B2B SaaS Sales Enablement Internal Tools Information Architecture

Overview

The platform's pricing depends on multiple variables: service type, MAU package, payment period, and payment method. Sales managers explained costs to clients by showing them a Google Sheets table with formulas

Pricing overview

The Problem

  • Clients didn't understand the calculation logic during meetings and asked for screenshots of the table
  • Commercial proposals sent later looked different and didn't contain all the information from the table
  • Managers spent time explaining the same basic things repeatedly
  • It was impossible to show in real-time how the price changed when parameters were adjusted

Solution

Solution

Key Decisions

Parameters on the left, totals on the right – managers can change values and immediately show clients how the price updates
Tabs with payment periods visualize discount amounts – the benefit of an annual subscription is immediately clear
All intermediate amounts are visible, VAT is shown separately – transparent calculation
One-click proposal generation – the document contains all discussed information and can be sent to the client immediately after the meeting
Information blocks at the bottom (about AMAU, Meta dialogs) – hints for managers so they don't forget to explain nuances
Implementation

Implementation

The calculator is integrated with a commercial proposal generation system in two languages (Russian/Kazakh). The manager configures parameters together with the client during the meeting, then generates a PDF with one button – the document captures the discussed configuration.

Impact

The tool became the primary sales tool for all HotKey Group managers. Instead of showing a spreadsheet and taking screenshots, managers present pricing through the interface, can discuss options with clients in real-time, and immediately formalize agreements in a proposal.

Additionally, the tool was used by internal teams (customer service, CEO) for quick price checks of specific configurations.
